How to Request Rental Space

Reston Community Center's Booking season runs from September 1 through August 31 of the following year. In mid-March of each year, RCC begins accepting room reservations for the upcoming season from residents of Small District 5 and individuals employed within Small District 5 who reside outside of its boundaries. Beginning in April, non-residents may submit booking requests for the upcoming season. All booking requests are processed on a first-come, first-served basis. Rental requests must be submitted at least 72 hours prior to the desired rental date. Due to limited facilities and the high demand for space for rentals and internal programming, Reston Community Center regrets that it is extremely difficult for us to accommodate requests for rentals that would occur on an on-going (i.e., weekly) basis. Please understand when we are unable to accommodate such requests. 

Rental Request forms for the booking season covering September 2017 - August 2018 will be accepted according to the following schedule:

Saturday, March 11, 2017: Reston Patrons (Small District #5 residents/employees, businesses, clubs and social organizations)
Requests may be submitted beginning at 9:00 a.m. on Saturday, March 11. You may submit your requests at the Hunters Woods location, via fax to 703-476-2488 or via e-mail to RCCFacility@fairfaxcounty.gov. Requests will be numbered in order and processed as received;  any requests received prior to  9:00 a.m. on March 11  will be numbered for processing at the end of the day . Requests will not be accepted at RCC Lake Anne. Faxed and emailed requests will be pulled in intervals starting at 9:00 a.m. on March 11 and mixed with those provided by in-person delivery as they are pulled. In-person delivery of requests on March 11 is strongly recommended for the best opportunity to achieve the desired booking.

Saturday, April 1: Non-Reston Patrons
Requests may be submitted beginning at 9:00 a.m. on Saturday, April 1. Requests will be numbered in order and processed as received. You may submit your requests at either the Hunters Woods or Lake Anne location, via fax to 703-476-2488, or via e-mail to RCCFacility@fairfaxcounty.gov; faxed and emailed requests and requests delivered to Lake Anne will be pulled at intervals for numbering. Requests received prior to 9:00 a.m. on April 1 will not be numbered for processing until the end of that day. Requests will be processed as received and those provided at Lake Anne or by fax or email will be pulled in intervals and mixed with those provided by in-person delivery as they are pulled. In-person delivery of requests to the Hunters Woods facility is strongly recommended for the best opportunity to achieve the desired booking.

Due to the volume of requests that are expected to be received, confirmation of requests will not be available immediately. Patrons should expect to hear from RCC regarding their status within approximately two weeks.

To rent a room at the Reston Community Center, follow this simple five-step process.

Step 1.

Search the facility calendar for room availability.

The Facility Calendar is currently undergoing system upgrade. We thank you for your patience as we improve our online services.

Step 2.

Print a Meeting Room Use Rental Request Form and RCC's rental policies and procedures. Carefully review the policies and procedures.

Step 3. 

Complete the Meeting Room Use Request form and return it to the Facility Booking Manager. The forms can be dropped off at either RCC location, faxed to 703-476-2488 or mailed to:

Please Note: RCC cannot reserve any rooms until the Meeting Room Use Request form has been received.

Step 4.

RCC will process your request and will notify you by mail within a week regarding the availability of space. If the requested rental space is available, the user will receive a rental agreement, liability waiver, and room setup worksheet in the mail.

Reservations are not guaranteed until you have received your rental agreement.

Step 5.

Return the signed rental agreement, along with payment, a signed liability waiver, and room setup instructions to RCC by the due date indicated on the rental invoice.
